General Terms and Conditions (GTC)

Conditions regarding guided tours 

1. Services and Service Alterations

1) Contractual services arise from taking up the offers on the website, from e-mail correspondence and from other contractual documents. Any agreements beyond the standard contractual services require written confirmation by the organizer.

2) If the organizer cannot provide agreed services himself due to illness or an accident or due to other similar circumstances, then he may assign another qualified person to perform the services. In this case, the participants are not entitled to request price reduction, contract withdrawal or compensation.

3) An exact adherence to the planned route and running order of the tour cannot be guaranteed. Therefore, in the event of impediments such as building sites or road blockages, or similar unforeseen occurrences during the tour, the organizer reserves the right to change the route or the tour content. In this case, tour participants will be informed immediately. However, the guide may make appropriate changes to the tour spontaneously and on-the-spot as required, due to the given conditions along the route. Tours will take place regardless of weather conditions, provided the safety of participants is not at risk.

2. Entering into Contract

If you would like to book a guided tour, please send me an e-mail. You will then receive a non-binding offer. The booking is only accepted and becomes binding when you confirm the offer by e-mail.

3. Terms of Payment 

1) The total price is due no later than four weeks before the scheduled date of the guided tour.

2) In the case of a booking made less than four weeks before the scheduled date, the amount shall be payable immediately.

3) Payment is due in advance by bank transfer. In order to simplify transfers from a Euros bank account and in order to avoid fees for a transfer to a Swedish Krona account from a Euros account, the payment shall be made to a German bank account. For German tourists, a payment to this account is therefore a domestic transfer. For tourists from other EU countries and from Switzerland, it is a SEPA credit transfer to a Euros account in Germany.

4. Cancellation, Rebooking, and Withdrawal

Clients may cancel their bookings free of charge up to 28 days before the beginning of the planned event. Beyond this, the following cancellation fees apply:

No cancellation fee up to 28 days before the tour. 

25% cancellation fee up to 14 days before the tour. 

50% cancellation fee up to 7 days before the tour. 

75% cancellation fee up to 3 days before the tour and 

100% of the fee if the tour is cancelled by the client less than 72 hours before the agreed date of the tour. 

If the client does not show up to the agreed tour, 100% fees will apply.

The withdrawal must take place in writing by e-mail and must be confirmed by Expedition Stockholm.

If individual participants are unable to take part in the tour, e.g. due to illness, no cancellation fee will apply, as long as the new participant numbers are communicated no later than 24 hours before the event by e-mail.  

Special provisions in case of bad weather: 

In the event of continuous heavy rain, the organizer will offer to find a new time and date for the tour on short notice. If this is not possible, the organizer may make an exception to the terms of cancellation and allow a no-fee cancellation. Please note that free cancellation of a tour due to continuous heavy rain is only possible if the group representative contacts the organizer at least 2 hours before the start of the planned tour!  

5. Delay

If the group does not arrive in time for the scheduled start, there is no entitlement to an extension of the tour or to a reduction of the price. The tour will be cut short by the time corresponding to the delay and will end at the previously agreed time. The guide will observe a waiting time of 30 minutes from the agreed starting time. When the waiting time has elapsed, the entitlement to the guided tour will become void, but the agreed amount must be fully paid by the customer. The group bears sole responsibility for arriving on time at the meeting point. 

6. Supervision 

For guided tours with children, young people or any other persons who may require supervision, the supplier assumes no supervisory responsibility. Said responsibility remains with the customer throughout the entire tour. 

7. Termination of a Guided Tour

1) The guide is entitled to deny a tour or to terminate a tour which has already begun if individual participants or the entire group behave inappropriately, despite a warning from the guide. Reasons for premature termination are e.g., hate speech, extreme inattentiveness or personal attacks against the guide. In such cases, the organizer reserves the right to claim the full event fee. 

2) Should the group either terminate the tour prematurely or decide to only avail of some and not all of the tour services, no price reduction will be granted. 

8. Cancellation & Withdrawal by the Organizer

The organizer has the right to terminate the agreement without notice in the case of 

a) force majeure or “act of God” 

b) sudden illness of the guide 

In such an event, the customer will be informed about the withdrawal without delay and will be promptly reimbursed for any amounts already paid. 

9. Liability & Safety

Clients participate in my tours at their own risk. The organizer is not liable for any injury or damage caused by deliberate or negligent behavior by tour participants. Please note that the tour route includes cobblestone streets and steps. Participants must decide for themselves if they are in adequate physical condition so as to be able to safely complete the tour. It is the responsibility of the participants to dress appropriately for the weather conditions and to have appropriate footwear. 

10. Audio-visual Recordings 

For reasons of copyright, any film and/or sound recordings must be discussed and agreed in advance with the organizer. 

11. Unenforceability 

Should any individual regulations of the general terms and conditions or of the tour contract become invalid or unenforceable, this does not result in the invalidity of the entire contract. 

12. Data Protection & Privacy 

All personal data made available to Expedition Stockholm by the customer will be processed electronically and will only be used for contractual or customer service purposes. Expedition Stockholm is obliged to adhere to the regulations stipulated in the General Data Protection Regulation of the EU (GDPR) regarding the collection, processing and use of personal data.
